1. Scope and Roles

This Privacy Policy describes processing of personal data through UrbanGate websites, mobile apps and society-management services. For society records, the relevant society may determine purposes and means of processing and UrbanGate may provide processing services on its instructions. For direct enquiries, subscriptions and support, the Operator may independently determine the purpose and means of processing. The precise allocation follows applicable law and customer contracts.

2. Information We Collect

Depending on enabled modules: names, phone numbers, email addresses, building/flat and occupancy details, profile photos, residents’ and administrators’ account identifiers, visitor names and photographs, gate entry/exit dates and times, visitor-approval decisions, vehicle information, vendor and staff records, complaints, helpdesk attachments, notices, amenity bookings, maintenance invoices and dues, payment references, and support correspondence. The Platform may also process device characteristics, IP addresses, app version, security events and diagnostic logs.

3. How Information Is Obtained

Data may be supplied directly by you, by authorized society management, by a resident creating or approving a visitor entry, by security staff acting for the society, or automatically during lawful use of the Platform. Persons submitting another individual’s data must have an appropriate lawful basis and provide required notices.

4. Purposes of Processing

We process information to authenticate and administer accounts; connect users with their society and home; approve, track and audit visitors; operate gate and staff workflows; prepare invoices, dues and receipts; facilitate payments; manage complaints, notices and amenities; provide customer support; prevent misuse; maintain security and performance; and comply with lawful accounting, legal or regulatory obligations.

5. Consent and Applicable Legal Bases

Where required by applicable law, suitable notice and valid consent must be obtained before processing. Consent may be withdrawn through the relevant privacy contact, subject to legally permitted processing and retention. Processing may also occur where another lawful ground is specifically available. Optional permissions and uses should not be made a condition of unrelated services unless necessary.

6. Who May Receive Information

Authorized society administrators, residents, gate security personnel and other users may receive only information relevant to their permitted role. Contracted hosting, messaging, support and payment providers may process relevant data under appropriate safeguards. Data may be disclosed to professional advisers or authorities when lawfully required. We do not sell residents’ or visitors’ personal data to data brokers.

7. Payments and Sensitive Identifiers

Payment partners may separately handle payment instruments and authentication. UrbanGate should not store full bank-card credentials, PINs, OTPs or CVVs. Identity document information should be collected only if justified for a documented and lawful purpose, not routinely or unnecessarily.

8. Device Permissions and Cookies

Depending on features actually used, mobile apps may request camera or photos/files access for visitor photographs and attachments, and notifications for approvals and community alerts. Other permissions such as location or microphone must be separately disclosed if introduced. The website may use necessary session cookies and any disclosed optional analytics subject to applicable rules.

9. Data Security

Reasonable safeguards may include encrypted transmission, restricted administrative access, role-based authorization, monitoring, authentication controls, security updates and protected backups. Security risks cannot be eliminated entirely. We will respond to and notify personal-data breaches where and when applicable law requires.

10. Retention and Deletion

Information is kept only as reasonably needed for identified purposes or legally required record-keeping. Profiles, access logs, billing data, staff histories, complaints, security events and backups may have different retention periods, established by a documented schedule and, as applicable, lawful society instructions. Deletion and exceptions are described in the Account Deletion & Data Retention Policy.

11. Data Principal Rights and Grievances

Subject to applicable law and the responsible data fiduciary, individuals may seek access to information about processing, correction, updating, erasure where required, withdrawal of consent, and grievance redressal. We may route requests about society-controlled records to the responsible society. Requests are addressed under applicable statutory requirements and valid identity checks.

12. Children’s Information

The Platform is primarily intended for authorized adult users. If children’s personal data is processed, appropriate age-related safeguards and verifiable parental consent where legally required must be implemented. Children’s data must not be used for unlawful tracking, behavioural monitoring or targeted advertising.

13. International Processing and Third Parties

Service providers may process data within or outside India only subject to applicable laws, contractual safeguards and restrictions. External payment, cloud, messaging and app distribution providers may maintain separate privacy policies for their own processing.

14. Changes to this Policy

Changes will be posted on this page with an updated effective date. Where a change requires additional notice or consent, it will be provided as required by law.

15. Privacy and Grievance Contact

For privacy requests or grievances, contact UrbanGate Privacy & Grievance Team at info@urbangate.in or +91 9484668124. Location: Ahmedabad, Gujarat, India. A named grievance officer, full registered address and any statutory contact particulars will be disclosed as legally required.
